The Colony West HOA & COA accepts both check and electronic payments (through our secured portal). All monthly dues are due on the 1st of every month. Payments are considered late if they are received and/or post-marked after the 5th of each month.

The pool is open from 9am to 9pm during the summer months (Memorial Day to Labor Day). Outside of these dates, the pool is for severe weather.
Yes, guests are allowed to use the amenities as long as they are accompanied by a resident member. Please note that there are restrictions on the number of guests per resident. Only two (2) guests allowed per household to use the Clubhouse Pool.
To get a Pool Key Fob, check in with the CW HOA office to see if your Unit has a Key Fob assigned. Only one Fob assigned per Unit. If Fobs or lost, misplaced, or stolen, replacement costs $100.00.
General maintenance issues within the unit is the responsibility of the owner of the unit. Sometimes, owners employ property management teams to take care of their properties and rent them. If you are renting a unit, check your leasing agreement for more information on who to report to.
(Water leaks, electrical issues, window repair, door repair, HVAC issues, pests concerns, balcony concerns, missing keys, etc.)
The Colony West HOA maintains and protects the common elements throughout the community. We handle: lawncare for common area, garbage removal, management of the complex, snow removal, lighting on common area, insurance and real estate taxes on commons, improvement and repair on commons, and annual audit. COA dues cover water bill, sanitary bill, recycling bill, roofing/siding reserve, insurance for the building structure, building exterior maintenance, improvement, care, and repair of hallways.
(Trees fallen outside of fence lines, issues with the garbage/dumpster, Clubhouse and Pool maintenance, stick and leaf litter pickup, litter pickup, etc.)
Nope! Our office does not handle any selling, leasing, renting, or management of any of the Colony West Properties. The Property Management Team works on behalf of the Board of Directors to handle daily operations of the neighborhood.

The Colony West Declarations provide for the election of a Board of Directors, which is the governing body of the Association. Both Association Boards are composed of unit owners who volunteer their time to work for the continuance of quality life within Colony West at efficient costs. Each representative to the Board carries the power of votes for the district he/she represents. Responsibilities of the Board of Directors are:
1. Providing for the operation, upkeep and improvement of all Common elements.
2. Preparing and adopting an annual budget; establishing reserve funds.
3. Making and amending the rules and regulations.
4. Enforcing provisions of the Declarations and rules and regulations.
5. Developing architectural guidelines and standards.
6. Obtaining and renewing Common area insurance.
7. Paying for all authorized services.
8. Hiring and supervising management personnel.
9. Planning for the future direction of the Association.
10. Delegating duties and responsibilities not specifically stated as non-transferable to others.
Every owner is encouraged to run for election as a delegate of one of the Boards. Please contact the Association Manager or President of the Association you are interested in serving.

The HOA contracts a lawncare team to maintain the acres of grassy common area. As well as fertilization, reseeding, and chemical weed control as needed.
The team comes out every Monday, excluding Holidays, to pick up sticks and litter, mow, and leaf blow as needed. During the dryer season, you may see them out less in order to preserve our grass.
If any chemical treatment or fertilization occurs, please keep an eye out for the flag markers indicated treated areas.
All MSDS are available in the Clubhouse office.
The Colony West Homeowners Association contracts out the removal of snow on all sidewalks, parking lots, and driveways after the accumulation of four inches of snow fall, or at the discretion of the manager. The Colony West Homeowners Association will remove snow during November, December, January, and February. A fee to be set by the Colony West Homeowners Association will be charged to any individual requesting additional snow removal.
The City of Champaign are responsible for the city streets: Melrose Drive, Phoenix Drive, and Colony West Drive. These streets are considered secondary streets and are typically plowed after 24 hours of last snow fall. (We are not the first streets to be plowed).
All Unit, Storage, and Mail Keys & Locks are the responsibility of the Unit Owner.
The CW HOA does not have any copies or provide replacements.
For Condo Mail Key & Lock Replacements, the Owner must coordinate any repair or replacements. We recommend hiring a locksmith.
For TDIs Mail Key & Lock Replacements, the Owner must coordinate repair or replacements through the main US Postal Office location in Champaign. The main local office who services our neighborhood is located at: 600 N Neil St, Champaign, IL 61820.
All 3-story apartment style condos have one reserved parking space. If you are a renter, your parking # should be on your leasing agreement. If you are unsure what your # is, reach out to the office and let us know - we will help you locate your spot.
All townhomes and duplexes have 2 reserved parking spaces. Same instructions as above.
Most duplexes and individuals have garages with personal driveway. No reserved parking spaces in parking lots.
